CRM Lists

PrimeAgile like all good Customer Relationship Management Systems manages lists. The Customer Relationship Management (CRM) tools in PrimeAgile are a compilation of services which work together to provide what are commonly defined as a CRM. Each individual part can be used individually or combined into various types of CRM products. This page is an attempt to define those lists and gives an overview of how those lists are built and managed in the core CRM System.

There is another concept to lists, that is content lists spread out over many pages often used by content distributors, most papers have them, here is an example:

Types of Lists

Persons  - These may be known or unknown, they may be company contacts associated with companies or they may be people who someone referred to another person or business.  Persons may or may not be associated with a company, listing, event, user, project etc.  Persons are managed by Person Services.  Many other services use and rely on Person Services.  for more on person lists: Person List

Companies - Companies are individual businesses.  They may be wholly or partially owned by other businesses or have relationships with other businesses and can have multiple people, addresses, listings, projects and other items from other lists associated with them.

Listings - Listings are business listings.  A company may have one or more business listing.  Listings from PrimeAgile QTZip directory services or other listing services are often a good place to find Company information for list building a company list.  Listings are managed by Directory Services. 

Places - Places is a complete list of all of the places in the world as best as we can manage it.  There are about 8 million places in the current location services tool.  Places are used to auto fill address information when adding addresses to a contact, business, purchase etc.  Places are managed by Location Services.

Leads - A lead is an unqualified opportunity with a person or a company.  A lead list in Some CRM's require that a lead or opportunity is associated with a business, but many businesses do business to consumer sales.  In PrimeAgile CRM a lead can be associated with a product or service, a company or person, and is managed by lead services.   A lead list can be put together by combining or tagging companies and persons list.

Opportunities - An opportunity is a qualified lead.  In some cases the lead is qualified and sold at the same time, in other cases the lead may sit in an opportunity state after being qualified and prior to closing.

Users - Users are persons who have an account on the system.

Projects - Projects are items sold to or associated with users, person or companies.  Project Services may be used to keep a customer informed of where their deliverables are in the process, the amount of work done, time used, items completed etc.  

Addresses - Addresses are used in many places in PrimeAgile including in Persons, Companies, etc.  Addresses user location services to autocomplete city and state based on zip or vice versa.

Events - Events are actions that are done with a person, lead, opportunity, or company.  They include: e-mail, phone, fax, mailing, visit, invoices, payments etc..

Products and Services - Products and or services can be associated with persons, or companies.

Contracts - Contracts for services, start dates, end dates, deliver status, who is the 'goto' person for a contract all can be associated with a person or company.

Documents - additional documents can be associated with persons or businesses of any kind.

Media - images, video and voice can be associated with persons or businesses.

Qualification Sets - questionnaires or information gathered when qualifying a customer can be kept with the customer record.  The qualification template can come from a selected product or service.

Accounts - Accounts are used to manage billing and payments

Clients - A client is a company that has an client account on the PrimeAgile system which would have one or more users.

List Building

List Building then is the process of adding persons, companies and leads associated with persons or companies to a client account in the PrimeAgile System.  These lists can then be used for additional marketing purposes.

List Building vs List Tagging

List Building really could mean two things so we want to clarify what we mean by List Building and differentiate that from List Organizing, Tagging or Grouping.

Adding a contact to our persons list is list building.

Adding a business to our company list is list building.

Selecting a list of contacts and businesses to whom Christmas cards should be sent is building a Christmas Card List, however it is not list building.  It is list tagging in that items from the existing company and person list are being identified as people who should be sent a Christmas Card.

In PrimeAgile we use tools to do both list building and list tagging.

One problem when building lists is potential duplication. 

In some cases duplication may be the desired result in other examples it is not.

For example, if we sent an e-mail to iBCScorp, we would send it to people at iBCSCorp, and/or maybe to the iBCScorp default company e-mail.  In this case, we probably don't care if each individual of the company was e-mailed directly.  However at the same time, if 10 staff all shared an info@ibcscorp e-mail address, we wouldn't want to send 10 e-mails to that address, so we would want to scrub or exclude any duplicate e-mails when preparing the list.

However, in the US, it is typical to send a New Year’s Card for example to a company or a department, and not to send a card to each of the 15 members of a department.
